Degree Conferral and Graduation Certification

 

Attention Fall 2009 Graduation Candidates,

Final graduation certification will not begin until Monday, January 4, 2010 and until all fall grades are accepted and processed by the Office of the Registrar. Candidates who meet all requirements will be processed by the Office of the Registrar for degree conferral.

If, after conducting a final review of a graduation candidiate's academic record, missing academic requirements are discovered, those deficiencies will be posted in STAR, under the "From Your Advisor"/"Advisor Notes" tab. It will generate an email to the student informing them that a new note has been entered, but will not disclose the details of that note, therefore they must log-in to STAR to access the deficiencies. Notification is immediate, therefore it is imperative students continue to check their hawaii.edu email even after the close of the fall semester.

Students must consult and work with their faculty advisors or department chair to resolve outstanding requirements. Should students request appointments with the Advising Center to discuss their progress toward graduation, they will be redirected to their faculty advisors and/or department chairs.

If deficiencies are not addressed, candidates will NOT officially graduate in Fall 2009, therefore all final transcripts, modifications, grade changes, and other deficiencies indicated in STAR preventing graduation must be submitted no later than Wednesday, January 6. There is no extension of this deadline and please be mindful, UH Hilo will be closed from December 21-January 1, 2010.

When undergraduate graduation candidates submit deficient items to the identified offices below, they must alert the staff that they are Fall 2009 graduation candidates.

- If graduation candidates have secured approved modifications, they must submit paperwork to the Office of the Registrar no later than Wednesday, January 6.

- If graduation candidates are currently enrolled in courses at a UH system institution during Fall 2009 and must transfer the courses back to UH Hilo, they must contact the Admissions Office immediately to request that those courses be included in UH Hilo academic record and inform Admissions that graduation is pending the acceptance of these courses. The deadline to do so isWednesday, January 6.

- If students are currently enrolled in courses OUTSIDE the UH system, the official transcript must be received by the UH Hilo Admissions Office, no later than Wednesday, January 6. There is no extension of this deadline and faxed documents are not accepted.

- If graduation is pending a change of grade due to an "I" (incomplete) in fall 2009, all change of grade paperwork must be received and processed by the Office of the Registrar no later than Wednesday, January 6, in order to formally graduate in Fall 2009.

- If graduation candidates must postpone graduation from Fall 2009 to Spring or Summer 2010, reapplication is not necessary, however they MUST inform the Office of the Registrar immediately of the decision to defer graduation. Degree conferral for spring 2010 will be done in May, pending the completion of all academic requirements. Candidates will not receive another graduation evaluation.

A new graduation application and fee will be required if all academic requirements are met AFTER summer 2010. The final deadline to apply to graduate in Fall 2010 is September 11, 2010 and upon reapplication, students will not receive another preliminary graduation evaluation and must work with faculty advisors and/or department chair to ensure timely academic progress and graduation based upon the initial preliminary graduation evaluation received.

 

Attention Summer 2009 Graduation Candidates,

Official degree conferral will not begin until all final summer grades are accepted by the Office of the Registrar, however if, after conducting a final review of your academic record, missing academic requirements are discovered preventing the conferral of your degree, those deficiencies will be posted in STAR, under the "From Your Advisor" tab. You must consult and work with your faculty advisor or department chair to resolve outstanding requirements.

If deficiencies are not addressed, you will NOT graduate in Summer 2009, therefore all final transcripts, modifications, grade changes, and other deficiencies indicated in STAR preventing graduation must be submitted no later than Monday, August 10. There is no extension of this deadline.
